Privacy Policy

ClaimCheck is designed with privacy as its core principle. All document processing occurs entirely on your device. We do not collect, store, transmit, or have access to your medical bills, Explanations of Benefits, health information, or any personal data.

1. Introduction

This Privacy Policy describes how Prismind Analytics LLC ("we," "us," or "our") handles information in connection with the ClaimCheck mobile application ("the App"). We are committed to protecting your privacy and being transparent about our practices.

By using the App, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.

2. Information We Do Not Collect

ClaimCheck is built on the principle that your health information is yours alone. We want to be explicit about what we do not collect:

  • Medical documents: We do not collect, upload, transmit, or store your medical bills, Explanations of Benefits (EOBs), itemized statements, or any other medical documents.
  • Health information: We do not collect any Protected Health Information (PHI), including diagnoses, procedures, treatment records, insurance information, or provider details.
  • Personal information: We do not collect your name, email address, phone number, mailing address, or any other personally identifiable information. No account creation is required to use the App.
  • Financial information: We do not collect credit card numbers, bank accounts, or payment details. In-app purchases are handled entirely by Apple through the App Store.
  • Usage analytics: We do not use any analytics frameworks, crash reporting services, or tracking tools. We do not track how you use the App.
  • Device information: We do not collect device identifiers, IP addresses, location data, or any device-specific information.
  • Advertising data: We do not use any advertising frameworks. There are no ads in the App and no ad-related tracking.

3. How the App Works

On-Device Processing

All document processing occurs entirely on your iPhone or iPad. When you scan or import a document, the following steps happen locally on your device:

  • Optical Character Recognition (OCR): Apple's Vision framework processes your document images to extract text, entirely on-device.
  • Data Extraction: Extracted text is parsed to identify billing codes, amounts, dates, and other relevant information using on-device processing.
  • Error Detection: Your bill and EOB are compared line by line using our rule engine, which runs locally on your device.
  • Report Generation: Error reports and dispute letters are generated on your device.

At no point during this process is any data transmitted to our servers or any third-party service.

Local Data Storage

All data created by the App — including scanned documents, extracted information, review sessions, error reports, and user preferences — is stored locally on your device using Apple's SwiftData framework. This data is protected by your device's built-in security, including encryption and your device passcode or biometric authentication.

If you delete the App, all data stored by the App is permanently deleted from your device.

Apple Intelligence (iOS 26+)

On supported devices running iOS 26 or later, ClaimCheck may use Apple's on-device Foundation Models for enhanced text extraction. These models run entirely on your device as part of Apple Intelligence. No data is sent to Apple's servers or any external service as part of this processing. 4. Camera and Photo Library Access

The App requests access to your device's camera and photo library solely for the purpose of capturing or importing medical documents for on-device analysis. Specifically:

  • Camera: Used to scan and photograph medical bills and EOBs. Camera access is only active when you explicitly initiate a scan.
  • Photo Library: Used to import previously photographed documents. Only images you explicitly select are accessed.

Images captured or imported are stored locally on your device and are never uploaded or transmitted.

5. In-App Purchases and Subscriptions

ClaimCheck offers optional in-app subscriptions (Pro and Family plans) through Apple's App Store. All payment processing is handled by Apple. We do not receive, process, or store any payment information. We receive only a confirmation from Apple that a subscription is active, which is used solely to unlock the corresponding features in the App.

6. Share Extension

ClaimCheck includes a Share Extension that allows you to import documents from other apps (such as Mail, Safari, or Files). When you use the Share Extension, the shared content is passed directly to the ClaimCheck App on your device. No data is transmitted externally during this process.

7. Notifications

If you enable notifications, ClaimCheck may send local notifications to remind you about pending dispute follow-ups. These notifications are generated and delivered entirely on your device. We do not use push notification services and do not have access to any notification tokens.

8. Third-Party Services

ClaimCheck does not integrate with, send data to, or receive data from any third-party services, with the sole exception of Apple's App Store for subscription management. We do not use:

  • Analytics services (e.g., Google Analytics, Firebase Analytics, Mixpanel)
  • Crash reporting services (e.g., Crashlytics, Sentry, Bugsnag)
  • Advertising networks or tracking frameworks
  • Cloud storage services
  • Social media SDKs
  • Any other third-party data processing services

9. Data Sharing

We do not share any data with third parties because we do not collect any data. There is nothing to share.

You may choose to export dispute letters or reports as PDF files from the App. When you do so, the export is handled by your device's native sharing functionality, and you control where the exported file is sent or saved.

10. Children's Privacy

ClaimCheck does not collect personal information from anyone, including children under the age of 13. Because the App processes all data on-device without any data collection, it complies with the Children's Online Privacy Protection Act (COPPA) and similar regulations.

11. Data Security

While we do not collect or transmit your data, we take the security of on-device data seriously. The App leverages:

  • Apple's native data protection and encryption for stored data
  • Your device's passcode, Face ID, or Touch ID protections
  • Secure App Group containers for Share Extension communication
  • SwiftData's built-in data integrity protections

12. Your Rights

Because we do not collect any personal data, traditional data subject rights (such as access, correction, deletion, and portability) are inherently satisfied — we have no data to access, correct, or delete. All your data remains on your device under your full control.

You can delete all App data at any time by deleting the App from your device.

13. International Users

ClaimCheck does not transfer data across borders because no data leaves your device. Regardless of where you are located, your data remains on your device and is subject to the data protection provided by your device's operating system.

14. California Privacy Rights (CCPA)

Under the California Consumer Privacy Act, California residents have the right to know what personal information is collected, request deletion, and opt out of the sale of personal information. Because ClaimCheck collects no personal information, these rights are inherently satisfied. We do not sell personal information.

15. HIPAA Compliance

ClaimCheck is designed as a consumer health tool. Because we do not receive, create, maintain, or transmit Protected Health Information (PHI) on behalf of any covered entity, we are not a business associate under HIPAA. All PHI processed by the App remains exclusively on your personal device under your control.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you through the App. We encourage you to review this Privacy Policy periodically.

Our commitment to on-device processing and zero data collection is a core design principle and will not change.
